SharePoint Sync – How Syncovery Works

With Syncovery, all your folders and files on Microsoft SharePoint can be kept perfectly in sync. Our software ensures that your data is always up to date — whether you’re in the office, at home, or on the go. Syncovery connects directly to the Microsoft Graph API, so data transfers take place directly with the SharePoint server. This guarantees maximum reliability and imposes no limits on file size.

Would you like to try it out for yourself? No problem! Our OneDrive sync app is available for a free 30-day trial. After that, simply choose the plan that best fits your needs.

Benefits of Our SharePoint Synchronization

Our SharePoint and OneDrive synchronization client offers numerous advantages that many other tools simply can’t match. It fully supports and connects to the Microsoft Graph API, so there’s no need for any additional software. You can also synchronize Microsoft Teams files and entire project libraries. For clear oversight and traceability, detailed logs and notifications are automatically provided.

These advantages aren’t limited to Windows, and no additional app is required. Once you’ve signed in, Syncovery will always use the SharePoint account from your first login. There’s no need to link or integrate other applications. You’ll find more details in the sections below.

Custom Filters

Decide exactly which content should be synchronized. Flexible filters let you define file types, file sizes, and modification criteria — including or excluding them as needed. These filters make data transfers much more efficient and precise, making Syncovery the perfect choice for structured projects and large environments.

AES-256 Encryption

All transfers are protected by secure SSL/TLS connections. For even stronger protection, you can enable AES-256-bit encryption to safeguard sensitive corporate files. In professional use, Syncovery delivers far greater security and convenience than many other tools.

Microsoft Graph API Integration

This integration enables a secure connection between OneDrive and SharePoint, ensuring maximum compatibility and fast data synchronization for the future. Syncovery is designed to be your long-term partner for SharePoint synchronization — and best of all, it works without requiring any desktop app.

Team and Project Sync

Need to synchronize entire libraries? With Syncovery, that’s no problem. Multiple team members can work on the same documents simultaneously — without conflicts. Even when external partners are involved, synchronization works flawlessly. Everyone always accesses the latest version of each file, which is especially useful for Microsoft 365 documents.

Guide to Configuring the SharePoint Sync Software

Ready to get started? Here you’ll find a quick guide to setting up Syncovery for optimal SharePoint synchronization. You can create your first profile using the Wizard mode, which walks you through all the necessary steps one by one. Still, we’d like to give you an overview of how to prepare your device and configure the software properly.

Here’s a look at the options available to you:

  • Starting Syncovery: Launch the program and create a new profile. To do this, click the button labeled “Perform Synchronization or Backup.” A profile in Syncovery is essentially a job definition — it specifies which folders should be copied and which additional settings should apply.

  • Step 1: Source and Destination: Let’s say you want to upload files from a local folder to SharePoint. Select the folder on your hard drive or network as the left-hand side, and click the “Cloud…” button for the right-hand side. Change the protocol from FTP to Microsoft Graph (New SharePoint API).

Alternatively, you could also sync with Google Drive or synchronize Dropbox using Syncovery.

    Sign In:
Sign in to your Microsoft 365 account and grant access using the OAuth2 method.
Syncovery will then receive a secure token that provides limited access to your cloud folders — without ever storing your password.
This access remains valid even if you change your password, but you can revoke it at any time in your Microsoft account settings.

  • Step 2: Choose the Copy Direction: Next, decide how files should be transferred — upload, download, or both. A two-way sync keeps files identical in both locations.

    Select Folders:
Specify which subfolders should be included.
Usually, you’ll either sync all subfolders or select specific ones in a separate dialog window.

  • Step 3: Sync Mode: Syncovery supports multiple synchronization modes, such as Standard, Exact Mirror, and SmartTracking. Each mode is explained in the user interface. For more details, press F1 to open the help system.

  • Step 4: File Types & Filters: Now decide which files should be synchronized. By default, all file types are included, but you can exclude certain extensions or allow only specific ones.

  • Step 5: Schedule Settings: The built-in scheduler lets you run synchronizations automatically — either at specific times or at regular intervals. You can also enable real-time synchronization for instant updates.

  • Step 6: Profile Name: Save your job under a descriptive name and run a test synchronization.

  • Step 7: Preview: The synchronization preview displays all folders and files that are about to be copied. If the proposed actions look correct, click Start to begin the transfer.

Tips and Guidance for Setting Up SharePoint Libraries

It’s important to take a moment to familiarize yourself with Syncovery and manually test your profile before running automated SharePoint synchronizations. You can find additional technical guidance on our SharePoint support page. If you still have questions or need a step-by-step guide, please don’t hesitate to contact us.

These tips and tricks make it even easier to use:

  • Separate Profiles: If you work with multiple SharePoint sites and libraries, create separate profiles. Mapping local folders to different SharePoint targets within a single job is not possible.

  • Notifications: In the Program Options dialog, you can configure email notifications. This way, you’ll be informed when sync jobs complete — or if any errors occur — without having to constantly monitor the application.

  • FTP, SFTP, WebDAV, and Other Clouds: Syncovery can also connect to many other cloud services and server types. You can use this to migrate data or to automate workflows within your company.

  • Advanced Mode: After your initial setup, switch to Advanced Mode as soon as possible. It offers far more options and flexibility than the Wizard mode.

  • Starting Profiles via Right-Click: Use the context menu in the profile list (in Advanced Mode). This allows you to run multiple jobs in parallel, in the background, with or without a sync preview.

  • Start the Scheduler: On the Scheduler tab, you can start the timer and choose whether it should run as a background app or as a service. You can also monitor its current activity and see which profile will run next.

Frequently Asked Questions About SharePoint Synchronization

Find answers here to the most common questions about SharePoint syncing.

Is the tool suitable for professional use and server environments?

Yes. Syncovery is specifically designed and optimized for handling large volumes of data. It can support both small teams and large organizations. Complex environments and data structures pose no problem. Many of our customers manage extensive SharePoint sites with numerous groups, subsites, and teams.

Can it be used offline?

Yes, you can work with your data offline. As soon as an Internet connection is restored, all changes will be synchronized — either according to your schedule or in real time if you’ve enabled the real-time sync option and the scheduler is running.

What synchronization features are available?

Syncovery offers one-way and two-way synchronization, scheduling, filters, previews, encryption, and versioning. This allows you to control nearly every aspect of your data synchronization process. The advanced filters, in particular, give you precise fine-tuning over your workflows.

Can files be renamed during transfer?

Yes. Syncovery allows you to rename files at the destination using PascalScript. For example, you can change file extensions, add or remove date stamps, or even completely rename files according to your own logic. You’ll find examples on our PascalScript page, and our support team will be happy to provide a custom renaming script upon request.
